This policy sets out the basis on which any personal data which is collected from you, or that you provide to us, will be controlled by Top Cat Veterinary Centre. We are committed to ensuring your privacy is respected and protected. We have legal obligations to use your personal information in line with the applicable laws.

By visiting www.topcatvets.co.uk or by providing us with any personal data you are accepting and consenting to the practices described in this privacy statement. This statement sets out the basis on which any personal data that we collect from you or that you provide to us will be used.

You may give us information about you by correspondence with us via telephone or email. We do not collect data from use of our website or text facilities. The information you give us may include your name, address, contact telephone numbers and email address.

HOW WE USE THE INFORMATION WE COLLECT ABOUT YOU –

We are committed to only using your information for purposes of legitimate interest.

We do not and promise not to sell or swap any of your details to any other organisation or third party other than in the requisition or supply of clinical data relating to your pet upon request of a registered veterinary surgery, veterinary surgeon, referral centre or rescue organisation.

We will use your information for –

-administration purposes

-for holding records that we are legally require to keep so that we meet HMRC, RCVS and other regulators’ compliance requirements

-we may occasionally send promotional or educational emails, texts or postal correspondence relating only to information we consider of legitimate interest to you

-provision of information specifically relevant to your pets individual health needs such as vaccination reminders

-for internal record keeping, including the management of feedback or complaints

We will keep your information confidential unless we are under a duty to disclose or share your personal data in order to comply with any legal obligation or in order to enforce or apply our terms of use or supplier terms and conditions to protect the rights, property or safety of Top Cat Veterinary Centre or others.

We are committed to ensuring that your information is stored securely. We have in place suitable physical, electronic and managerial procedures to safeguard your information in order to prevent unauthorised access or disclosure.

We will ensure –

-that all personnel who have access to your personal data are obliged to keep such information confidential.

-that we comply with our obligations under the Data Protection Legislation with respect to security, breach notifications, impact assessments and consultations with supervisory authorities or regulators

-that we notify you without undue delay on becoming aware of a Personal Data Breach

If you use your debit or credit card to pay for products or services either in person or over the telephone, we will ensure that this is done securely and in accordance with the Payment Card Industry Security Standard. We do not store debit or credit card details following the completion of your transaction other than for the purposes of reconciliation and referral in line with legal requirements such as that of HMRC. Only staff authorised and trained to process payments will be able to see your card details.

HOW LONG DO WE KEEP YOUR PERSONAL INFORMATION?

-In case of any legal issues/dispute relating to the care of your pet, for a minimum of seven years from the known date of the death of your last registered pet.

-In case of your transfer from Top Cat Veterinary Centre to another Veterinary Surgery or a period of account inactivity of five years of longer, a minimum of 20 years from the appropriate date.

-We may retain your information as long as is necessary for legal reasons regarding the keeping of medical records alongside accounting and tax rules.

ACCESS OF INFORMATION- The Act gives you the right to access information held about you and in turn your right of access can be exercised in accordance with the Act.

An individual has the right, subject to certain exemptions, to access personal information that an organisation holds about them. Accessing personal data in this way is known as making a subject access request. Upon your request we will delete, destroy or return personal data and copies thereof to you unless required by Applicable Law to store such data.
